Role Overview
The Executive Assistant to the COO provides high-level administrative, operational, and strategic support to ensure the effective functioning of the COO’s office.
The role acts as a central coordination point across internal teams and external stakeholders, enabling seamless execution of key initiatives, effective communication, and operational efficiency. The incumbent will support planning, tracking, and delivery of strategic and operational priorities, while enhancing administrative systems and processes within the COO’s office.
Key Responsibilities
Executive Support & Stakeholder Management
- Serve as the primary point of contact between the COO and internal/external stakeholders
- Manage communication flow, ensuring timely and professional responses on behalf of the COO
- Build strong working relationships across departments to facilitate coordination and alignment
- Handle sensitive and confidential information with discretion
Meeting & Communication Coordination
- Coordinate and manage the COO’s calendar, ensuring optimal prioritization of engagements
- Organize internal and external meetings, including logistics and scheduling
- Prepare high-quality meeting materials (agendas, presentations, briefing notes)
- Record minutes and track follow-ups to ensure closure of action items
Execution Tracking & Operational Follow-through
- Track key initiatives, projects, and deliverables across functions (e.g., supply chain, finance, operations)
- Monitor progress against priorities and proactively follow up with stakeholders
- Ensure timely execution of action items and escalate risks or delays where necessary
- Support performance tracking and reporting for operational initiatives
Reporting & Documentation
- Prepare reports, presentations, and correspondence on behalf of the COO
- Consolidate inputs from various departments into executive-level summaries
- Ensure accuracy, clarity, and consistency in all documentation
- Support preparation of board or executive-level materials where required
Strategic & Project Support
- Support planning and execution of strategic projects and cross-functional initiatives
- Conduct basic research and analysis to inform decision-making
- Coordinate project activities and ensure alignment with organizational priorities
- Assist in driving key operational improvements across departments
Process Improvement & Office Efficiency
- Review and improve administrative processes within the COO’s office
- Introduce systems and tools to enhance efficiency, tracking, and communication
- Standardize reporting and coordination workflows
- Drive continuous improvement in how the COO’s office operates
Key Performance Indicators
- Timeliness and quality of executive support
- Effectiveness of stakeholder coordination
- On-time closure of action items
- Quality and accuracy of reports and presentations
