About This Role
This is a research-focused data entry role embedded within the AMANI Study, a health research initiative operating across multiple counties in Western Kenya including Kakamega, Homabay, Kisii, Siaya, Migori, Busia, Nyamira, and Vihiga. Your primary base will be Kisumu County, but the role involves regular travel to health facilities across the region.
You will be responsible for abstracting data from routine health records — including birth registers, mortality registers, and MPDSR committee forms — and entering it accurately into electronic data capture platforms within strict timelines. This is not a simple copy-paste job. You will be working with clinical research data, which means GCP compliance, data validation, and careful documentation are central to everything you do.
This role suits someone who is meticulous, comfortable working in a field research environment, and already familiar with how clinical data flows through health facilities. If you have used REDCap or ODK before and understand what Good Clinical Practice means in practice, you are a strong fit.
Key Responsibilities
- Abstract data from routine health records including birth registers, mortality registers, MPDSR committee forms, facility surveys, and qualitative logs maintained by Practice Facilitators
- Accurately enter data into EDC platforms such as REDCap and ODK within defined study timelines
- Perform double data entry and validation checks to ensure consistency and minimise errors
- Identify, flag, and escalate data inconsistencies or missing information to the Senior Data Analyst
- Ensure secure storage, backup, and maintenance of data management documents in line with study SOPs
- Maintain detailed logs of data entry activities, queries raised, and resolutions provided
- Liaise with field staff including nurses, clinicians, and facilitators to verify and clarify source data discrepancies
- Participate in data quality assurance activities including team reviews and refresher trainings
- Ensure all activities comply with the study protocol, SOPs, GCP guidelines, and ethical requirements
Required Qualifications and Experience
Essential:
- Diploma or Bachelor’s degree in Health Records, Information Technology, Statistics, or a related field
- Minimum 1 year of experience in research data entry or health records management
- Up-to-date Good Clinical Practice (GCP) Certificate
- Hands-on experience with REDCap or ODK electronic data capture systems — this is mandatory
- Familiarity with clinical research procedures, documentation standards, and terminology
Desirable:
- Prior experience working on donor-funded or academic health research studies
- Knowledge of health facility data flows in the Western Kenya region
Skills and Competencies
- Fast, accurate data entry with a sharp eye for inconsistencies in clinical datasets
- Proficiency in MS Word, Excel, and electronic data capture platforms
- Strong organisational and time management skills to handle multiple facilities and deadlines
- High level of integrity and strict commitment to participant data confidentiality
