About This Role
The Senior RM Administrator provides end-to-end administrative and operational support to CIFOR-ICRAF’s global fundraising function. You’ll report to the Head of Resource Mobilization and sit at the centre of proposal pipelines, donor engagement, compliance, and internal coordination across the organisation’s Nairobi and Bogor headquarters and global field offices.
This is a substantive NGO job in Nairobi — not a junior admin role. It requires someone who can manage competing priorities across a complex international organisation while keeping data, deadlines, and donor records accurate.
Key Responsibilities
Proposal Development Support
- Support scientists and fundraising staff with grant proposal preparation and submission
- Coordinate internal approvals, signatures, and submission clearances including senior management sign-off
- Compile compliance and due-diligence documentation required by funders
- Maintain proposal records, funding pipelines, and probability tracking in the institutional RM system
- Ensure accurate linkage between submitted proposals and awarded grants in coordination with Finance and the Project Management Unit
Administration and Operations
- Manage day-to-day administrative needs of the Resource Mobilization Unit
- Coordinate procurements, consultant contracts, and annual subscriptions
- Support RM budget management and track expenditures against plan
- Provide logistical and research support for funder meetings, site visits, and high-level engagements
- Organise workshops, seminars, and internal learning sessions
- Coordinate staff travel including flights, accommodation, visas, and protocol clearances
- Liaise between Nairobi, Bogor, and global field offices on RM administrative matters
- Contribute to internal reporting including KPIs, quarterly reviews, and Board reporting
Required Qualifications
- Minimum undergraduate degree from a recognised university
- At least 5 years’ professional experience
- Experience working within an international organisation is an asset
- Strong administrative, coordination, and records management skills
- Familiarity with grant proposal processes and donor compliance requirements would be a clear advantage
