This is a sales support and billing role sitting inside a busy FMCG sales operation. Your core function is to ensure that customer orders move from placement to fulfilment accurately — processing invoices, verifying sales documents, updating customer records, and coordinating delivery timelines. When invoicing goes wrong in an FMCG environment, it costs the business money and damages client relationships. Your attention to detail is what prevents that.
Beyond the billing function, this role has a clear client-facing dimension. You will attend to customer requests, follow up on satisfaction after order delivery, and actively support the development of new client relationships. Key Responsibilities
- Generate, process, and issue accurate customer invoices in line with sales orders and company billing procedures
- Verify and review sales orders and supporting documents to ensure correct billing before goods are released
- Update customer files and maintain accurate records of all issued invoices and related sales documentation
- Attend to customer requests and queries relating to orders, billing, and product delivery
- Coordinate timely delivery of customer orders by liaising with relevant internal departments
- Review and follow up on customer orders to confirm satisfaction and resolve any post-delivery issues
- Build and maintain positive relationships with existing clients to support retention and repeat business
- Support the generation of new sales through existing client networks and assist in developing new clients and markets
- Stay current with invoicing regulations, billing best practices, and industry standards relevant to the FMCG sector
- Carry out any other duties assigned by the Head of Sales from time to time
Required Qualifications and Experience
Essential:
- Bachelor of Commerce (BCom) or equivalent degree from a recognised Kenyan university
- Recently graduated candidates with no prior work experience are explicitly welcome to apply
- Strong numerical accuracy and attention to detail — invoice errors have direct financial consequences
- Basic computer literacy and comfort working with billing or sales documentation systems
Desirable:
- Exposure to invoicing, billing, or sales administration through attachment, internship, or academic projects
- Familiarity with FMCG industry operations or distribution and supply chain basics
- Experience using ERP or accounting software (even at student or attachment level)
Skills and Competencies
- High attention to detail in document processing — verifying figures, cross-checking orders, and catching discrepancies before they become problems
- Clear, professional communication when dealing with clients — written and verbal
- Organised and methodical approach to managing multiple customer files and orders simultaneously
- Customer relationship orientation — you follow up, you listen, and you resolve issues rather than passing them on
- Ability to work within a structured sales team and take direction from the Head of Sales while managing your own task list independently
