About This Role
This is a generalist HR Assistant position sitting within ICEA LION Group’s shared services People and Culture function. The role touches every stage of the employee lifecycle — from sourcing candidates and coordinating interviews through to onboarding new hires, maintaining HRIS records, tracking performance appraisals, and preparing formal HR correspondence.
It is not a passive admin role. You will act as the primary custodian of the HR Information System, manage data integrity across multiple platforms including Navision payroll and performance management modules, and participate directly as a panellist in operational role interviews. Key Responsibilities
- Draft and publish job advertisements across recruitment platforms and manage the full candidate pipeline from screening through to offer
- Coordinate and schedule interviews, administer aptitude assessments for graduate trainees and entry-level roles, and participate as an interview panellist for operational positions
- Facilitate background checks and reference verifications for all successful candidates before onboarding
- Coordinate new hire induction sessions and liaise with IT to ensure Day 1 readiness — laptops, access cards, and workstation setup
- Onboard all new employees into the HRMIS and ensure timely registration for medical schemes, Group Life Assurance, and payroll
- Maintain 100% data accuracy across the HRIS and sync employee records across Navision payroll, meal systems, and performance management modules
- Prepare monthly recruitment metrics reports covering new joiners, exits, and pipeline status
- Monitor leave balances, track probation periods, and follow up with line managers to ensure timely appraisal and probation reviews
- Organise and maintain physical and digital personnel files in line with data protection policies and audit requirements
- Prepare formal HR correspondence including offer letters, probation confirmations, bank letters, visa support letters, and disciplinary notices
Required Qualifications and Experience
Essential:
- Bachelor’s degree in Human Resources, Social Sciences, Business Management, or a related discipline from a reputable Kenyan or accredited university
- Professional HR certification — CHRP-K, CIPD, or SHRM — is a firm requirement, not optional
- At least one year of practical HR experience covering recruitment, records management, or HR administration
- Working knowledge of Kenyan labour laws and HR regulatory requirements
Desirable:
- Familiarity with HRMIS platforms and payroll systems, particularly Navision
- Experience coordinating structured onboarding programmes in a multi-department organisation
- Exposure to benefits administration including medical schemes and Group Life Assurance
Skills and Competencies
