About This Role
The Healthcare Virtual Assistant Remote BrainsHub Kenya 2026 position is designed for someone who understands the healthcare environment and can manage the administrative side of a medical practice or healthcare team without being physically present. You will handle the coordination work that keeps a healthcare operation running smoothly — schedules, patient communication, follow-ups, and records — all from your home setup.
Key Responsibilities
- Manage healthcare provider schedules, appointments, and calendar coordination to ensure no clashes or missed bookings
- Handle incoming and outgoing emails on behalf of the healthcare team, responding promptly and professionally
- Coordinate patient communications including appointment reminders, follow-up messages, and general enquiries
- Maintain accurate and organised patient records and administrative documentation
- Assist with basic medical administration tasks including data entry, referral tracking, and report preparation
- Liaise between patients, clinical staff, and third-party providers to ensure smooth operational flow
- Flag urgent patient matters to the appropriate clinical team member promptly
- Support telehealth appointment logistics where applicable
Required Qualifications and Experience
Essential:
- Prior experience working in a healthcare, medical, or clinical administration environment — hospital, clinic, NHIF-accredited facility, medical NGO, or similar
- Familiarity with medical terminology — ability to understand and accurately handle clinical language in documentation and communication
- Strong written and verbal communication skills in English
- Excellent organisational skills — ability to manage multiple schedules, follow-ups, and tasks simultaneously without dropping details
- Reliable internet connection and a functioning computer or laptop for full-time remote work
Desirable:
- Diploma or degree in Health Records Management, Medical Administration, Nursing, Clinical Medicine, or a related healthcare field
- Experience using electronic health record (EHR) systems, practice management software, or telehealth platforms
- Prior remote work or virtual assistant experience
- Familiarity with NHIF processes, medical billing concepts, or insurance pre-authorisation workflows
Skills and Competencies
