About This Role
This is a pharmaceutical procurement and quality assurance role that goes beyond standard purchasing. Key Responsibilities
- Serve as the primary liaison with the Pharmacy and Poisons Board (PPB) on all regulatory matters
- Coordinate with the procurement team to ensure stock requirements are met promptly and without disruption
- Oversee procurement and warehousing operations including proper storage, FIFO compliance, expiry management, and item condition monitoring
- Handle and investigate market complaints and respond appropriately to customers and regulators
- Manage customer returns by raising GRNs, providing reasons, and forwarding for credit authorisation
- Develop, implement, and review SOPs for quality assurance and operations in line with GDP, WHO guidelines, and industry best practices
- Monitor stock movement continuously to prevent stockouts or overstocking situations
- Manage returns of slow-moving, overstocked, or near-expiry items
- Ensure continuous supply of high-quality products including follow-up on storage conditions
- Maintain accurate and complete records of all customer documentation
Required Qualifications and Experience
Essential:
- Diploma in Pharmacy
- Current enrollment with the Pharmacy and Poisons Board (PPB) — this is mandatory
- Minimum 1 year of experience as a Procurement Officer or in a related position
- Proficiency in Microsoft Office Suite — Word, PowerPoint, Outlook, and Excel
Desirable:
- Knowledge of Sage ERP system
- Familiarity with GDP and WHO pharmaceutical supply chain standards
Skills and Competencies
- Working knowledge of PPB regulations and pharmaceutical supply chain compliance
- Strong documentation and record-keeping accuracy
- Stock management skills including FIFO, expiry tracking, and warehouse oversight
