The Agency for Technical Cooperation and Development (ACTED) is seeking a qualified and organized Project Assistant to provide administrative and coordination support to the REACH Sudan mission, based in Nairobi. This NGO role is ideal for professionals with experience in project administration, logistics, and coordination within an INGO or development setting.
Job Overview
Reporting directly to the Country Representative, the Project Assistant will support the REACH Sudan team during its operational transition from Kampala to Nairobi. The role involves close collaboration with ACTED Kenya’s FLAT departments (Finance, Logistics, HR/Admin) to ensure smooth administrative, HR, and logistical operations.
Key Roles and Responsibilities

Support the setup and maintenance of staff records, project trackers, and documentation in collaboration with ACTED HR

Organize travel, accommodation, and logistical arrangements while anticipating operational needs

Coordinate staff onboarding, orientation, and provide administrative guidance to new team members

Assist with workspace allocation, office resource management, and procurement processes

Act as the main liaison between REACH Sudan and ACTED Kenya FLAT departments to ensure timely processing of requests

Identify workflow improvements, standardize administrative procedures, and maintain knowledge management systems

Oversee administrative compliance, document management, and adherence to organizational standards

Perform additional administrative, coordination, or strategic support duties as assigned
Qualifications and Requirements

Diploma or Bachelor’s degree in Business Administration or a related field

Minimum of 1 year experience in administration, logistics, or coordination roles

Previous INGO experience is an added advantage

Strong organizational and multitasking skills with attention to detail

Excellent written and verbal communication skills in English

Proficiency in Microsoft Office (Word, Excel, Outlook) and Adobe tools

Strong interpersonal skills and ability to work effectively in a multicultural environment
