About This Role
The Administrative Assistant will support RIVET’s Chief Marketing Officer (CMO) and Marketing team — managing scheduling, meeting preparation, project tracking, partner coordination, and daily operations across a fast-paced startup environment. You’ll be the operational backbone of the marketing function: keeping timelines on track, systems organised, and the CMO focused on strategic priorities rather than logistics.

Core Responsibilities
Administrative Support
- Schedule meetings, manage travel and logistics, and liaise with external stakeholders on behalf of the CMO
- Develop systems to streamline the CMO’s workflow — tracking and directing day-to-day tasks to maximise efficiency
Project Management
- Develop and maintain a marketing projects tracker
- Prepare weekly status summaries for the CMO and broader team
Asset Management
- Own management and storage of final creative assets, decks, reports, and key departmental documents
- Maintain organised, accessible filing systems across the marketing function
Brand Research Support
- Draft briefs on prospective partners, collaborators, or campaign-aligned opportunities as needed
Business Development Support
- Track meeting notes, follow-up tasks, and attendee stewardship steps
- Liaise with colleagues across the organisation to ensure next steps are properly executed
Events
- Manage contact lists and logistics for both in-person and virtual cultivation events targeted at senior-level marketers
Tech Stack Management
- Ensure current technology licences and passwords are organised, documented, and accessible
Required Qualifications
Experience
- 2–3 years of experience in administrative, marketing operations, or project management roles — ideally supporting a senior leader
Skills
- Excellent organisational and time management skills — proven ability to track details, manage shifting priorities, and follow through on multiple concurrent tasks
- Clear and concise written and verbal communication skills — comfort drafting emails and internal updates in American English
- Familiarity with Google Workspace, Monday.com, and Slack — ability to learn new systems quickly
- Experience managing logistics for meetings, travel, or events — or demonstrated transferable experience from roles of comparable complexity
- Superb attention to detail — work that doesn’t need to be double-checked
- Calm, solution-oriented mindset when navigating last-minute changes or unexpected demands
