About This Role
The Finance and Administrative Officer (FAO) reports to the Regional Representative for Africa and works closely with the Multi-Country Project Officer, the Peacebuilding Specialist, and consortium partners across multiple countries. The role covers the full financial administration cycle for Cord’s Africa Regional Office in Kenya — bookkeeping, budget monitoring, donor reporting, audit support, and office operations — while also providing logistical and administrative support to the regional team.
The position is based in Nairobi, Kenya with potential occasional international travel. Working hours are Monday to Friday, 8:00am–5:00pm, with flexibility.
Key Responsibilities
Bookkeeping & Financial Administration
- Record all Cord-managed financial transactions for regional and Kenya operations with complete supporting documentation
- Process payments, receipts, advances, and reimbursements with appropriate authorisation and correct coding
- Maintain and reconcile bank accounts and petty cash for the Africa Regional Office
- Prepare regular bank and cash reconciliations and resolve discrepancies promptly
- Maintain accurate financial records — both hard copy and digital — and manage the local finance filing system
- Maintain and update the asset register for the Africa Regional Office
- Enter and upload authorised financial vouchers into Cord’s accounting system (Microsoft Dynamics 365 Business Central) in line with organisational timelines
- Prepare and submit the monthly end checklist to Cord HQ
Project Financial Management Support
- Support the Regional Representative with financial monitoring — budget tracking and Budget versus Actual (BvA) report review
- Assist with expenditure analysis to keep spending aligned with approved budgets and work plans
- Contribute to donor financial reports and budget forecasts for Cord-managed costs in coordination with Cord HQ
Audit & Compliance
- Support preparation for internal and external audits — compile documentation and respond to audit queries
- Follow up on audit recommendations and strengthen financial controls
- Promote awareness of Cord’s financial procedures and good practice among staff
Administration, Logistics & Office Support
- Provide logistical support for staff travel, workshops, and regional activities
- Support establishment and ongoing administration of Cord’s Africa Regional Office — registration, banking arrangements, local compliance, office setup, and day-to-day operations
- Coordinate with Cord HQ and Asia regional team as required
Safeguarding
- Ensure the safety of programme participants, community members, and team members from harm, abuse, and exploitation
- Promote and implement safeguarding standards across all activities
- Follow safeguarding reporting procedures for any reportable incidents
Required Qualifications
Education & Skills — Required
- Relevant qualification in finance, accounting, business administration, or a related field — or equivalent professional experience
- Proven ability to develop and manage budgets and accounting systems
- Strong proficiency in financial software and accounting systems — experience with Microsoft Dynamics 365 Business Central is desirable
- Strong numerical, analytical, and organisational skills with high attention to detail
- Advanced Excel skills and Microsoft Office proficiency
- Ability to work independently under pressure with minimal day-to-day supervision
- Fluent English — written and spoken
Experience — Desirable
- Experience working with multiple currencies or multi-currency financial management in an international context (strongly preferred)
- Experience in an INGO or donor-funded environment — particularly with institutional donors
- Familiarity with donor financial compliance and audit requirements
- Experience supporting regional or multi-country programmes

Salary, Contract & Location Details
Compensation
- Basic salary: KES 241,845 – 268,716 per month — commensurate with experience

Contract Type
