Job Purpose
To support the importation process by handling documentation, coordinating with clearing agents, suppliers, and internal teams, and ensuring timely and compliant delivery of imported goods. The role is administrative in nature, with a strong focus on accuracy, follow-up, and regulatory compliance.
Key Duties and Responsibilities

- Assist in preparing, reviewing, and maintaining import documentation including Purchase Orders, Proforma Invoices, Commercial Invoices, Packing Lists, Bills of Lading, Certificates of Origin, and insurance documents
- Assist in coordinating with clearing and forwarding agents to ensure timely customs clearance
- Support compliance with import regulations, customs requirements, and statutory bodies (e.g., KRA, KEBS, Port Health, as applicable)
- Update shipment trackers and maintain accurate import records and files
- Assist in monitoring import costs including freight, duty, taxes, and clearing charges
- Follow up on delays, documentation discrepancies, and missing information
- Support stock planning by providing timely shipment updates to procurement, stores, and finance teams
- Assist with supplier invoices reconciliation and submission to finance for payment
- Maintain proper filing (physical and electronic) of all import documentation
- Provide general administrative support to the imports and supply chain team

Qualifications and Experience

- Bachelor’s degree in Supply Chain Management, Procurement, Logistics, Business Administration, or a related field
- 1–3 years’ experience in an imports, logistics, or supply chain administrative role
- Experience working with clearing agents and shipping documents is an added advantage
